What does the School Management System do for your institution?

Three things, done really well. Everything else exists so these three run themselves.

1

Enrolls by itself

Prospects open a link, fill in their data and pay. They're enrolled on the spot with zero staff involvement — documents get uploaded later, inside the platform.

2

Charges & invoices by itself

Automatic payment schedules; payments by card, cash at stores, PayPal or Mercado Pago, and CFDI e-invoices stamped in seconds. No manual entry.

3

Follows up by itself

Grades, documents, announcements and reminders flow between students, teachers and staff on their own.

What is ABAKU SMS

Not just another school system. It's the whole operation.

ABAKU SMS is the result of years working on the administrative side of educational institutions. Every module is here because it solved a real pain, not because it looked nice in a demo.

Origin

Born in real school operations

ABAKU SMS wasn't designed by a sales team: it was built by people who ran schools. Every one of its 44 modules exists because it solved a real pain for a registrar, a teacher or a director.

  • 100% self-service enrollment
  • Payments, CFDI invoicing and reports
  • Digital student records
  • Groups & schedules with student choice
Your rent covers it all

One payment, zero surprises

ABAKU SMS is rented as a service: your monthly fee covers all 44 modules, managed hosting, backups, human support and every new update. No "that module costs extra".

  • Every module — no tiers, no paywalls
  • Hosting, security and backups included
  • Updates at no extra cost
  • Human support by email and WhatsApp

Running, not a mockup

ABAKU SMS v1.0 runs with real data in real institutions. Ask for a demo with your name and email and a copy that is yours alone lands in a minute — no scheduling, no "we'll call you".

  • Works on-site, online or hybrid
  • Your own demo, ready in a minute
  • Your data exportable anytime
  • Up and running in under 24 hours

You don't buy ABAKU SMS — you rent it as a service. Your monthly fee puts you on a train that keeps moving, without paying more every time it reaches a new station.

Star feature

100% self-service enrollment

Students open the link, fill in their data and pay: by card, in cash at thousands of stores across Mexico (OXXO, 7-Eleven, Circle K, pharmacies and more), with PayPal or Mercado Pago. They're enrolled on the spot; documents get uploaded later, at their own pace, from their panel. When you arrive Monday morning, 5 new students are already waiting in your system.

  1. 1. The prospect arrives from your site or social media
  2. 2. Fills a guided form on their phone or computer
  3. 3. Pays: card, cash at stores, PayPal or Mercado Pago
  4. 4. Receives their credentials by email — already enrolled
  5. 5. Signs in and uploads documents at their own pace
  6. 6. You see everything, complete, in your panel

Groups and schedules

They enrolled themselves. Now which group do they land in?

This is where most systems hand you back the spreadsheet. ABAKU SMS builds groups two ways — and you choose which, down to the individual group.

Assigned mode

You place them

You create the group with its shift, capacity and room, give it a schedule and place students: one by one or the whole cohort at once — the norm in high school, where a single section takes every subject together.

Self-service mode

They choose

You open the enrollment window and each student builds their own schedule from their panel, seeing live capacity: pick, drop, pick again. The norm at undergraduate level — and the end of queues at the registrar's office.

The mode is decided in three layers: one default for the whole institution, an override per term when that semester works differently, and a per-group flag. Both modes can coexist in the same term.

And students cannot enroll themselves wrong

When the student chooses, the system stops them. When you place them, the registrar wins — on purpose: exceptions are your job, not a form's.

Both modes Capacity with waiting list Capacity 0 = no limit. Once full, the next students drop into a waiting list on their own and whoever has waited longest gets in the moment a seat frees up. Two people cannot take the last seat at once, however simultaneous the clicks.
Both modes Schedule clashes The system compares schedule against schedule and catches the overlap both when you place and when they choose. It will not save until someone confirms the clash is intentional.
Self-service only Prerequisites You define the sequence per subject, and each prerequisite can be mandatory (blocks) or advisory (warns only). A student enrolling themselves cannot skip it and sees what is missing; you can still place them, because exceptions exist.
Self-service only Re-enrollment rules Optional and yours: payments up to date, cap on failed subjects, maximum load per term. They are checked when a student enrolls themselves and say exactly why they cannot — they never block you.

🔌 And if your campus lives in Moodle, turning on sync mirrors each group as a cohort — the student is never provisioned twice.
🗓 Semester, four-month, trimester, annual or intersession terms; morning, afternoon, evening, mixed or Saturday shifts. Configured once, at install time.

Star feature

No more loose photos over WhatsApp

The Student documents module is the registrar's biggest time-saver. Students upload required documents from their own panel — desktop or phone. Admins validate with one click. When an audit comes, you download everything as a ZIP.

  • Students upload: from their panel, on any device.
  • Admins validate: approve or reject with a reason, one click.
  • The system notifies: students get an email if something's missing.
  • Audit-ready: download the full package as a ZIP.
  • History: every move is recorded in the audit log.

Integrations

Connects with what you already use

ABAKU SMS doesn't reinvent what already works: it integrates with the services your institution knows. Payment gateways and e-invoicing are local — Mexico today, one country at a time.

ConektaCards and cash at thousands of stores: OXXO, 7-Eleven, Circle K, pharmacies and more.
Factura.comCFDI 4.0 stamping straight to Mexico's SAT, per payment or monthly global.
MoodleEnrollment sync and Moodle health monitoring via web services.
PayPal · Mercado PagoMore ways for your students to pay, already wired into the same checkout.
OpenAIAI assistant to query your data in plain language (bring your own key).
Payments and invoicing

Your gateway, your account, your money.

ABAKU SMS is not a payment gateway or a tax-stamping provider: it connects to yours. You open your own account with the processor and invoicing provider you choose, connect it, and that is it — your students' money lands in YOUR account, it never passes through us.

ABAKU SMS charges no transaction fee

Not a cent per payment, per enrolled student or per invoice issued. What you pay for ABAKU SMS is your subscription, full stop. We will never sit between you and your money.

The fee that does exist belongs to the gateway

Payment processors charge their percentage for processing, and your invoicing provider charges for issuing. That is normal for online payments anywhere in the world — they would charge it without us — and we tell you how much before you sign anything.

We walk you through signing up

Getting approved by a processor is paperwork: incorporation documents, tax ID, bank account, proof of address. We tell you what they will ask for, in what order and how long it usually takes, and we stay with you until the first test payment lands.

And we explain how it works

Why a cash payment takes a while to confirm, what happens with a refund, how to reconcile against your bank statement, when a consolidated invoice makes sense. Without that, the system does the right thing and nobody understands why.

Already have a payment account or an accountant who issues invoices? It connects and nothing changes for you. Don't have one? We tell you how to open it — but the account is always in your institution's name.

Moodle

Already using Moodle? The two platforms talk.

ABAKU SMS connects to your Moodle so course enrollment happens automatically when payment is confirmed, with a supervised sync queue.

  • Automatic course enrollment on payment confirmation
  • Sync queue with automatic retries
  • Real-time Moodle health monitoring
  • Student data synchronization

Built for real people

Every module solves a pain we've lived through

ABAKU SMS was born from years of running educational institutions. Every feature is there because a secretary, a teacher or a director told us "I wish this were easier".

“We used to spend 3 days a month stamping invoices by hand. Now the global invoice issues itself at month-end and we find out when the receipts hit our inbox.”

Administrative coordinator Graduate programs — hybrid

“My teachers enter grades from their phones. The built-in guides saved me from training each one at the start of every cohort.”

Academic director University — on-site

“Students now upload their documents from their panel. My office stopped receiving 40 blurry WhatsApp photos a day.”

Academic coordinator Diploma courses — online
Demo on request

Try it. It's real, and the copy is yours.

No pre-recorded video, no PowerPoint: we spin up a test school just for you, with programs, students, assigned teachers, active payment schedules, scholarships and grades. Leave us your name and email and the access lands in a minute.

Commits you to nothing · yours for three months · what you change nobody else sees, and nothing gets wiped while you use it.

Custom quote

The price depends on your size. That's why we quote it.

ABAKU SMS is billed per user, so a 120-student school can't pay the same as a 3,000-student university. Tell us how many you have and we'll send you your number, not a brochure range.

How billing works
One monthly fee per active user. Nothing on the side.
  • You pay per active user, not per module
  • All 40+ modules are included from day one
  • Managed hosting, backups and updates included
  • If your enrollment grows or shrinks, the cost moves with it
The real math
What to compare it to
The honest comparison isn't against other software: it's against the payroll doing that work by hand today.
  • Students enroll, pay and upload their documents on their own
  • Payments reconcile and invoice themselves — nobody keys anything in
  • Notices, reminders and account statements go out on their own
  • ABAKU SMS costs less than the administrative salary it saves you
What we need to quote you
Four answers and we build the number. The rest we cover in the demo.
  • How many active students you have
  • How many teachers and admin staff would use it
  • Modality: on-campus, online or hybrid
  • Whether data has to be migrated from another system

Get your quote

Tell us how many students you have and we'll come back with a quote in real numbers, not an “it depends”.

The quote breaks down everything that does cost money — setup, training and data migration — so nothing shows up as a surprise later.

FAQ

The questions everyone asks, answered.

Yours isn't here? Write to us using the form below.

Where does my data live?
ABAKU SMS is offered as a managed service in our cloud: we handle the server, security, monitoring and backups, so your school doesn't need an IT team. The data belongs to your institution and you can export it anytime.
Does it work if we only teach on-site?
Yes — it ships with a mode built for physical schools: create groups with capacity and schedules, then either place students yourself or open self-service so each student picks their own group and schedule at enrollment, with waitlists and clash detection. Self-service enrollment works the same way: students register and pay online even if classes are in the classroom. Plus QR-verified campus IDs.
What happens if I stop paying the subscription?
You get a 15-day grace period with automatic notices. Then student access pauses, but your data is kept for 90 days so you can catch up or export.
How long does implementation take?
Under 24 hours: your platform is live, branded and configured the same day. Migrating historical data from another system is scheduled separately and depends on volume — but you can start operating without waiting for it.
Can you train my team?
Yes. Every implementation includes initial training, and the system ships with ~60 built-in step-by-step guides so your team can self-train. If you want extra training hours, they are itemized in your quote.
Is there a contract and an exit clause?
12-month contracts with automatic renewal. Exit clause with 30 days' notice after the first quarter. No hidden penalties.
Does ABAKU SMS take a cut of what I charge?
No. Not per payment, not per enrolled student, not per invoice. Your students' money goes straight into your institution's account, with the processor you contract: it never passes through us. The only thing you pay ABAKU SMS is your subscription. The processor does charge its percentage for handling the payment — that is normal for online payments anywhere and they would charge it without us — and we tell you how much before you sign anything.
